This Privacy Policy explains how Evergreen Crates ("Evergreen Crates", "we", "us") collects, uses and protects your personal data when you use our website and hire crates from us. We are committed to protecting your privacy in line with the UK GDPR and the Data Protection Act 2018.

Evergreen Crates is the data controller for the personal data we process. We are based in Sudbury, Suffolk, and provide reusable moving crate hire across Suffolk and Essex.

2. The data we collect
Depending on how you interact with us, we may collect:
- Contact details, name, email address, phone number.
- Booking details, delivery and collection addresses, dates, package chosen, notes.
- Business/partner details, business name, type and contact details, if you apply for a trade account.
- Communications, messages you send us via our contact form, email or phone.
- Technical data, IP address, browser type and usage data via cookies (see our Cookie Policy).
We do not knowingly collect data from children, and we do not process special category data.
3. How and why we use your data (lawful bases)
- To provide our service, fulfilling your booking, delivery and collection. Lawful basis: performance of a contract.
- To respond to enquiries, replying to your messages. Lawful basis: legitimate interests (responding to you).
- SMS/email updates about your hire, where you have opted in. Lawful basis: consent or performance of a contract.
- Marketing, only where you have given consent, which you can withdraw at any time.
- Legal and accounting obligations, e.g. keeping records. Lawful basis: legal obligation.
- Website analytics, only with your cookie consent (see Cookie Policy).
4. Who we share your data with
We do not sell your data. We share it only with trusted service providers who help us run our business, including:
- Our website and database hosting providers (e.g. Netlify, Supabase);
- Payment providers (for processing payments, where applicable);
- Communication tools (email/SMS providers) to send you booking updates;
- Professional advisers and authorities where legally required.
Where a partner referred you (using their referral code), we may share limited booking information with that partner to administer their trade account.
5. International transfers
Some providers may process data outside the UK. Where they do, we ensure appropriate safeguards are in place (such as UK adequacy regulations or International Data Transfer Agreements).
6. How long we keep your data
We keep your data only as long as necessary: booking and financial records are typically retained for up to 6 years to meet legal and accounting obligations; enquiry data is kept for a reasonable period and then deleted.
